GetHeard (AppCentric, "we") lets businesses collect feedback from their customers through a short chat. This policy explains what we collect, why, and the choices you have. It covers two groups of people: businesses that have a GetHeard account, and customers who leave feedback on a business's GetHeard page.

Who is responsible for your data

If you run a business with a GetHeard account, we are responsible for your account data.

If you left feedback for a business, that business decides how your feedback and contact details are used, and we handle them on its behalf. Questions about follow-ups or offers from a business are best sent to that business directly. You can also contact us and we'll pass your request on.

What we collect

From businesses:

  • Your email address and password (stored only in hashed form by our sign-in provider)
  • Your business name, logo, feedback page settings, and any Google review link you add

From customers who leave feedback:

  • Your rating and the messages you write in the chat
  • If you choose to give them: your name, email or phone number, and which of the two contact boxes you ticked, with the date and the exact wording you agreed to
  • Whether you tapped the business's review link, and how you reached the page (for example, a QR code)

Technical data:

  • Your IP address, used only to limit abuse. We keep it for about a day.
  • Sign-in cookies for business accounts. We don't use advertising or tracking cookies, and customers leaving feedback get no cookies from us.

How we use it

  • To run the feedback chat and show the business your rating, chat and any contact details you chose to share
  • To create summaries and follow-up suggestions for the business. The chat replies and summaries are written by AI.
  • To run business accounts, including sign-in, password reset and service emails
  • To keep the service secure and prevent abuse

We don't sell personal data, and we don't use it for advertising.

Who we share it with

  • The business you left feedback for. It sees your rating, chat and any contact details you shared.
  • Our service providers, which process data only to run GetHeard:
    • Supabase (database and sign-in)
    • Render (hosting)
    • Anthropic (the AI that writes chat replies and summaries). Anthropic doesn't use data sent through its commercial API to train its models.
    • Our email provider (account emails)
  • Authorities, when the law requires it, or to protect people's safety or our rights
  • A new owner, if GetHeard is sold or merged. This policy would continue to apply to your data.

Offers and marketing messages

A business sends you offers only if you ticked the "offers and news" box. The business sends them, not GetHeard.

You can stop them at any time by replying STOP to a text, using the unsubscribe link in an email, or asking the business. Agreeing to offers is never required to leave feedback.

How long we keep it

Business account data is kept until the account is deleted. Deleting an account from Settings permanently removes it, along with its feedback pages and all the feedback they collected.

Customer feedback is kept for as long as the business keeps its account, unless we're asked to delete it sooner.

Your choices and rights

You can ask to see, correct or delete your personal data by emailing hello@getheard.chat. Depending on where you live, you may have further rights under local law, such as in California. We won't treat you differently for using them. We may need to confirm your identity first, and we'll reply within the time the law requires.

Security

Data is encrypted in transit, and each business can see only its own data. No system is perfectly secure, but we'll tell affected people promptly, as the law requires, if a breach affects their data.

Children

GetHeard isn't meant for children under 13, and we don't knowingly collect their data.

Changes and contact

If we change this policy, we'll update the date above. If the change is significant, we'll also tell businesses by email.
